Plan your virtual event with my FAVORITE summit resources!

I know the tech part of hosting a summit can be overwhelming. To help, I've listed my favorite resources below.

Please note that this is not an exhaustive list. You can host an online summit on a different website platform and with different tools. These tools are what I use for my own summits.

Website Platform

  • WordPress - WordPress.org is my platform of choice. While other platforms can work, I don't know of any others with the tools needed to do a summit the way I like to do them easily.
  • Kajabi - An alternate platform containing all the features you'd need to host a summit using strategies inside Summit In A Box. 
  • Namecheap - Namecheap is where I buy any new domains I purchase. (Note that buying new domains is optional and you can host an entire summit on your existing website.)
  • Siteground - Siteground is where I host my WordPress websites. They are reliable, fast, and have great support.
  • Coded Creative - I use and modify Coded Creative's Olivia theme for my summit website. Other great options include BluChic and StudioPress. BluChic also has landing page and social media templates that could definitely come in handy.
  • Beaver Builder - Beaver Builder is the tool I use to create drag-and-drop pages in WordPress. Both free and paid versions are great!
  • Privacy Policy + Terms & Conditions - Get super affordable templates for your Privacy Policy and Terms & Conditions from Joey Vitale's Startup Kit!

Presentations

  • Vimeo - Vimeo is where I host all my videos and presentations. I'm on the Plus Plan. Just make sure you don't save uploading all of your presentations until the last week, as there is a weekly limit on how much you can upload.
  • Chatroll - Chatroll is a paid chat box and the one I use and highly recommend. While there is a monthly fee, you can get away with having it for one month and cancelling. It's super easy to use and great form an attendee standpoint as well.

Engagement

  • Interact - Interact is a quiz and polling tool that has sooo much good stuff. I used a quiz to help attendees decide which presentations to attend at it was a huge hit!
  • Zoom - A great tool for both recording presentations and hosting live calls throughout your event including networking sessions, co-working sessions, and more.
  • Remo - This site is great for leading networking sessions, breakout sessions, roundtables, Q&A sessions, or talks with sponsors.

Finding Speakers + Summit Promotion

  • Virtual Summit Search - This is an amazing place to list your summit for promotion as well as look for speakers. They have a growing speaker directory of quality people who love to speak!

Email Marketing

  • ConvertKit - ConvertKit is my email marketing platform of choice. I love all the segmenting options and other tools available. 
  • ConvertKit for WooCommerce - This plugin integrates ConvertKit with WooCommerce so you can tag subscribers when they make a purchase.

Legal

  • Virtual Summit Speaker Agreement Template - A speaker agreement is a *must*, whether or not you know your speakers well. Casey's templates over at Boss Contract Society are gold!
  • Virtual Summit Terms & Conditions & Privacy Policy Template - Make sure you cover all your bases when the person enters your website. Whether you’re selling products directly from your site your not, you need to have both a terms & conditions agreement and privacy policy. 
  • Virtual Summit Sponsorship Agreement Template - This template is for anyone looking to bring on sponsors for a virtual event, such as digital course creators, podcasters, coaches, or consultants planning client events and retreats.
  • Virtual Summit BundleThis bundle comes with contracts that will allow you to set clear expectations with your sponsorships, your attendees, and speakers. It will protect your time and value and help you sort through possible disagreements (hello refunds, and sponsorship misunderstandings) without all the drama or legal fees.

 Content Gathering + Organization

  • Content Snare - Content Snare is the tool I use to collect material from my speakers. I love that I can create all the content templates I need as well as send automated reminders as due dates approach.
  • Airtable - Airtable is an absolute lifesaver when it comes to tracking your speakers. You can also use Airtable instead of Content Snare to gather your speaker information. You'd just have to do your own follow-up emails.
  • Typeform - Typeform can also be used to collect speaker information although you may need to find workarounds for things like videos. It's also what I use to collect feedback from my speakers and attendees.
  • Google Drive - Google Drive is where my team and I store all of our files, it's where I store my speaker resources, and it's one way speakers can share larger files (like videos) with me.
  • Dropbox - If you're not a Google Drive fan, Dropbox is another option.

Offering a product

  • WooCommerce - WooCommerce is the free eCommerce plugin I recommend for WordPress.
  • AffiliateWP - AffiliateWP is the plugin I use to track affiliate referrals.
  • LearnDash - LearnDash is what I use to offer presentation replays and other products through my website.
  • Deadline Funnel - Deadline Funnel is the software I use to offer limited-time discounts on the product I'm selling through my summit. This could also be used, rather than a plugin, to set presentation pages to expire and redirect.
  • ThriveCart - An incredible platform to offer products and track affiliates if you're not using WordPress.
  • Tapfiliate - Another affiliate-tracking platform I've heard good things about.

Social Media Scheduling

  • Plann - We currently use Plann to schedule all our Instagram posts and Stories!
  • Later - Later is a tool to schedule all of my posts for Instagram and Instagram Stories.
  • Facebook Scheduler - The built-in Facebook scheduler is how I schedule social media promotions, post in my speaker group, and post in my attendee group.
  • Buffer - Buffer is another great social media scheduling tool.
